Logistics Assistant

OBJECTIVE OF THE POSITION:
Under the supervision of the base manager, the logistics assistant will ensure all supply and logistics need at Zahle base level.
Responsibility 1: Managing the purchases
Activities:
- Participate in the drafting of a supply plan for the program
- In liaison with your line manager, implement the programme’s supply procedures in compliance with internal and donor regulations and legal requirements
- Manage the monitoring of Purchase and Service Requests and fill purchase files according to internal regulations
- Ensure the purchase are done according to the supply plan
- Ensure the quality of the purchase and the delivery deadlines
- Ensure the collected documents are compliant with HI procedures: supplier stamp, signature...
- Make sure to always consider value for money having in mind quality and sustainability of the goods
- Provide to your line manager the information required to draw up the contracts for suppliers and service providers
- Maintain a daily update of the PSR Monitoring Chart
- Prepare required information for audits on aspects concerning supply upon request
- Ensure archiving of purchase files in the respects of HI rules
- Maintain a regular update of suppliers data base
Responsibility 2: Managing the stocks
Activities:
- In liaison with your line manager, implement the stock management procedures in compliance with internal and donor regulations and legal requirements
- Ensure that the items are stored in adequate conditions and organize the storing spaces if necessary
- Set up and monitor stock monitoring chart (SMC)
- ensure the reliability of the data they contain and the filing and archiving of related documents
- Conduct a monthly stock inventories and report any discrepancies to your line manager
- Organise and optimize the storing spaces (warehouse stock, stationeries and consumables storage room)
- Liaise with the Line Manager and qualified applicants for the planning of supply orders in order to avoid any shortage
Responsibility 3: Equipment management and IT Management
Activities/Main duties:
- Ensure the respect of HI equipment management procedures.
- Make sure the follow up of the equipment is updated and completely filled (EMC).
- Ensure the Equipment file is well organized and complete.
- Make sure all the equipment have an identification code.
- Ensure a regular maintenance / Check-up for all equipment in your base.
- Ensure the physical inventory is done for all equipment /small equipment and furniture of your base
- Provide the IT solutions for all HI staff (connections, printing problem, software, etc…) in coordination with your line manager.
- Ensure the data backup is done for the departments in regular basis
The logistics assistant contributes to the overall logistics management according to the internal procedures based on the line manager request.
Note that this job description must remain flexible, to respond to additional tasks or changes as identified by the line manager.
Professional skills
- University Degree in management
- Previous experience as Logistics assistant
- Previous humanitarian experience is an asset
- English and Arabic mandatory (oral and written), French would be an asset
- Strong computer skills mandatory (Word; Excel and outlook)
- Possesses a current driver license
Cross-cutting skills
- Fluent in Arabic and English, French is a plus
- Understanding of road traffic rules and regulations
- Good oral written communication and presentation skills
- Autonomous in using the basic functionalities of Microsoft office, word, power point, Outlook
PROFESSIONAL STANDARDS:

Initial contract will be for a period of 23 months and the position is based in Zahle with frequent travel inside Lebanon

Basic salary range for the position : From 1170$ to 1250$ based on experience
