This position will report to the Admin Officer at NOA Level, to provide Administrative management support.

Under the direct supervision of the Admin Officer, the incumbent will support the overall fleet management meetings and workshops transactions ensuring high quality and accuracy of work.

How can you make a difference?

1.Assist in developing vehicle maintenance schedules, analyses fuel consumption and maintains the utilization records.
2.Assist in analyzing the vehicle log books, identifying personal use and keeps records for billing individual staff members or requests to Finance for recovery.
3.Prepares vehicle maintenance orders and Vet all Bills from Vendors/Garages for vehicle maintenance, fuel etc.
4.Assist the Admin Officer in the fleet management in the regular and spontaneous vehicles spot check whenever needed
5.Assist the Administrative Officer in the coordination with SCO on administrative issues related to Travel, Hotel bookings and Vehicles maintenance.
6.Process Security Clearances for staff members, consultants and visitors traveling to/from Syria/Lebanon.
7.Issuance/renewal of UNLPs for LCO staff
8.Process MOFA related issues for everything related to vehicles and driving licenses.
9.Maintains files and records related to Transportation.
10.Review DSA entitlements related to in country travel
11.Handle taxi requests within Beirut
12.Compile and verify the vouchers of transportation requests within Beirut with the actual trip request to process the payment.
13.Makes and arranges accommodation / hotel bookings; reviews and process settlement of all invoices received from them, and support administrative arrangements for meetings, and workshops.
14.Timely and organized delivery, collection, registry, reproduction and transmittal (fax, courier) of correspondence, documents, pouch services.
15.Maintains files and records related to UNICEF events and fleet management.
16.Undertake and perform any other duties as assigned by supervisor.

To qualify as an advocate for every child you will have…

Completion of secondary education, supplemented by technical or university courses related to the field of work.

A minimum of 4 years of relevant administrative or clerical work experience is required.

Developing country work experience and/or familiarity with emergency is considered an asset.

Fluency in both written and spoken English and Arabic required.
