Role
Transparently manage the logistics and human resources of the Geneva Call Regional Support Unit based in Beirut, Lebanon, in accordance with internal procedures and guidelines, as well as the local legislation.
Activities
Reporting line
The Administration and Human Resources Officer reports to the Head of Office
Responsibilities
Promote compliance with Geneva Call policies, tools and handbooks
Fully respect the confidentiality of the position
Promote and share ideas to improve the administrative and logistics department
Ensure administrative and logistics documents are properly filed
Prepare and develop status reports, as required
Implement delegated administrative and logistics function according to the plan of action
Take responsibility for office administration
Take the lead in managing Geneva Call’s regional support unit and manage all administrative aspect of the office
Manage office supplies and inventory
Submit inventory reports to Head of Office
Responsible for procurement process (plan and organise)
Logistical responsibilities
Develop and implement effective administrative and logistics procedures for the office whilst ensuring procedures are properly monitored and strengthened
Develop and manage the procurement policy in line with Geneva Call procedures
Manage the supplier relationship and ensure transparency in all transactions
Develop a budget and forecasts for the logistical department
In collaboration with the finance officer, ensure timely payments are made, following the submission of all relevant documents
Submit logistical reports to Head of Office every month
HR management responsibilities
Develop and manage Geneva Call’s HR policy in line with GC HQ and Lebanese labour law
Lead the recruitment process and ensure procedures are transparent
Manage HR payroll and medical insurance
Manage HR performance and development
In collaboration with Head of Office, manage the complaints and feedback mechanism
Develop and submit all HR-related reports
Ensure security and safety standards required by the security policy are in place
Main qualifications
Education
MBA/BBA in Human Resources Management or HR Management diploma with bachelor’s degree
Generic skills / competencies
At least 3 years in a similar position
Previous experience of working in a complex and volatile context
Relevant administrative and logistic experience
Fluency in English and Arabic
Willingness to work in a team
Specific skills / competences
Technical skills:
IT Tools (MS Office, Excel, Reporting tools)
Human Resource Management tools
Qualifications/personal skills:
Experience in HR management
Knowledge and experience of using Admin/HR management tools
Ability to take on responsibilities, proactive and efficient approach to work, advanced communication skills.
High level of integrity and accountability
Desirable:
Previous experience in working in international organizations
Previous experience in office management

Conditions
Full time position, 12-month contract
The position is based in Beirut, with travel in the region.
Starting date: as soon as possible.
