Program Coordinator for Coding Bootcamp

SE Factory (SEF) is a cutting-edge coding bootcamp in Beirut on a mission to select high-potential computer science graduates from low income backgrounds and help them develop the necessary skills to become job-ready software engineers.
SEF runs in 3-month cycles (photos), taking a batch of up to 20 students each time, for a total of 3 cycles per year. Students go through intensive training on the full stack of web development technologies. In addition, students go through a wide range of soft skills workshops such as CV writing, job interviewing, self-awareness, teamwork, project management, among others.
At the end of the 3-month bootcamp, SEF will facilitate interviews with top software companies and agencies looking to hire, thereby bridging the gap in Lebanon between university graduates and the demands of the job market.
The program coordinator will be responsible for the following tasts and responsibilities:
Outreach & Marketing
Organize and participate with the team in events relevant to the program mission
Take part in delivering public presentations about the program to targeted audiences with the team
Establish and maintain the program monthly newsletters and necessary mailing lists
Promote SEF activities during cycles via different channels
Plan for and insure executing the necessary outreach for the eCourse and sub-events along with any upcoming bootcamps/programs inside and outside Beirut
Student Affairs and Admissions
Carry the preliminary selection of eligible FSW & FCS requests before sending the full application to qualified candidates
Conduct the application rate and quality analysis to adjust the outreach process accordingly
Draft/Update the different application forms required prior to the outreach onset
Schedule interviews with candidates for evaluations and screening purposes
Onboard newly admitted students and arrange for their contracts signature
Coordinate with SE Factory’s partner bank to set up new students’ accounts for each cycle, conducting the relevant internal process & communication and document collection in full and following up with the bank admin regarding any occurring issues
Oversee the whole application process (FCS, FSW & eCourse) and follow-up with the technical instructor regarding any upcoming action points such as application entry updates and email dispersion
Facilitate the conduction of the offline Study Groups for the eCourse, handling the necessary follow-up calls
Plan for upcoming cycles by proposing major dates based on previous cycles and discuss it with the instructor and team for approval
Event Planning & Logistics
Maintain space readiness & procure the needed material for the space’s daily operation
Resolve any urgent logistic issue with BDD or relevant service providers
Plan for events as needed under the different program pillars (fundraising, internal events, outreach and marketing) and manage all related logistical and booking matters from space to service providers
Procure the required material and services to maintain good operation
Be involved in planning and securing the logistics for any upcoming bootcamps/programs outside Beirut
Communication & Admin
Perform all needed communication for outreach, public relations, and media duties relating to the program promotion
Respond to external inquiries via email or phone with the relevant data and requirements
Assist the founders with the required fundraising and sponsorship material (prepare docs, outreach and follow-up)
Schedule and organize meetings and maintain agenda & MoM
Manage the student outreach and selection processes before any cycle (prepare docs, social media/email/etc, process applications, interviews and final selection)
Carry the needed communication to secure mentors and facilitators during cycles
Manage the growing community of SEF alumni, engaging them into continuing interaction, sharing opportunities and support to SEF and its students
Draft and update the necessary email bodies for the application process’ communication (FCS, FSW & eCourse)
Oversee the whole application process’ communication (FCS, FSW & eCourse) and follow-up with the technical instructor regarding any upcoming action points such as sending updated emails at each stage of the application process
Monitoring & Evaluation
Keep track of the different stages of the application process for optimization purposes
Collect and archive all shared documents during the application process for future reference
Monitor and evaluate new logistic processes, drafting a relevant execution kit for future replication
Draft/update, disperse and share the results reports of the mid-cycle, exit surveys and any program feedback forms
