Main responsibilities:

 

 

 

Under the supervision of Medical Advisor, the pharmacist will be responsible for the following main activities in link with MdM procedures:

  • Implementing a quality drugs supply system with partners in line with MdM standards and Lebanese legislation
  • Implementing an effective stock management
  • Reception and preparation of orders, Collection and analysis of drugs consumption
  • Support to and develop the capacity building of implementing partners

 

 

Main activities

 

  1. Implementing a quality drugs supply system in line with MdM standards and Lebanese legislation

 

  • Participate in analysis of needs, preparation of regular forecasts, calculation of replenishment orders and buffer stocks and initiating timely procurement of pharmaceutical and medical supplies in collaboration with logistics and primary health care programs team.
  • Anticipate needs for medical supplies and assist in defining and implementing strategy for local procurement if necessary in collaboration with primary health care program team. Alert his/her supervisor as soon as the buffer stock will be used
  • Ensure procurement is in line with MdM, national and donors regulations especially in terms of drugs quality
  • Evaluate potential local suppliers according to MdM standards (QUAMED) on request of the supervisor

 

  1. Implementing an effective stock management

 

  • Oversee and implementation of all medical commodities activities related to MdM Lebanon including receipt, stock management and dispatch activities, ensuring the functionality of regular and recurring reports and tracking of different parts of the medical commodities supply chain and consumption data, use of standard quality assurance tools. 
  • Organize the drugs storage according to international and MdM standards for easy distribution and appropriate stock movement records
  • Organize a monthly physical inventory and provide the stock balance at the end of each month to Deputy General coordinator to anticipate the excess of stock, stock-out and near expiry dates.
  • Ensure the medical warehouse is kept as per standard storage requirements including the monitoring of temperature and humidity of the pharmacy and cold chain on daily basis
  • Ensure robust communication with programs pertains to stock status, minimum and maximum stock levels, short expiry drugs for further necessary action as per country and MdM procedures.
  • Be responsible of the follow up of all particular stocks implemented on the mission with the support of Logistic Coordinator.  (update of different tools and physical inventories)

 

  1. Reception and preparation of orders, Collection and analysis of drugs consumption

 

  • Be responsible for Order reception checking quantities and quality of received items, updating accordingly the physical stock and integrate them into the electronic file (Saga Stock).
  • Together with the partners, the pharmacist will be responsible for Order preparation: collecting the data consumptions per health facility, analyzing the data and accordingly support the field with drugs requests and needs in a timely manner and finally updating the stock card and the electronic file (Saga Stock) based on the stock movements.
  • Ensure that updated stock and consumption records can be provided upon request for any reporting
  • Monitor the drugs consumption by establishing/maintaining mechanisms of consumption record and inform the in case of any unusual consumption

 

  1. Develop the capacity building of  implementing partners

 

  • Provide technical support and Supervision to MdM partners  on regular basis, at all health facilities / partners supported to build the capacity of them:
  • Help to assess needs in health facilities related to drugs storage and dispensation. Propose and fulfil any necessary changes required
  • Evaluate the existing tools used by the partners and assist in development and implementation of drug consumption tools in supported health facilities (MOPH and/or internal tools)
  • Assure with collaboration with the pre-existing partners that the pharmaceutical services are implemented according to internationally accepted standards and/or relevant Ministry of Public Health at the field level
  • Collaborate closely with and build the capacities of pharmacists/dispensers of supported health facilities through the capacity building of the partners. Propose trainings on estimation of needs, order request, use of tools, stock management, etc.
  • Based on the mission strategy and action plan, support the coordination team in providing a handover plan to supply chain and pharmaceuticals management to partners if needed
  • Upon request, organize trainings on drug prescription and drug rationalization for partners.
  1. Reporting and attendance to different meetings

 

  • Prepare a monthly activities report to submit to the supervisor.
  • Participate in a pro-active way to MdM internal meetings (medical, security…)
  1. Others:
  • Establish good relationship with the different external stakeholders in order to have a smooth implementation of MdM project
  • Be flexible in performing his/her duties to ensure that beneficiaries are getting good quality services
  • Inform immediately the security focal point in case of any security problem in the field
  • Perform other additional duties on request of the medical manager and coordination team
