Job Description

Role and Responsibilities

 

Main objectives

 

Under the supervision of the Admin  Manager he/she is in charge of driving LA vehicles and purchasing items according to LA purchasing procedures

 

Hierarchical and functional links

 

The Driver/Purchaser reports hierarchically to the Admin & Fin Manager.

 

Detailed activities

 

  • Driving LA vehicles
  • Passenger safety and security of transported materials/equipment
  • Maintenance of the vehicle
  • Carrying out logistic activities under the supervision of the Admin Manager
  • Purchasing items according to LA purchasing procedures
  • Remaining stand-by in the office in between movements
  • Any other additional duties requested by his/her supervisor

 

Main responsibilities

 

Passenger safety and security of transported materials/equipment

  • Adapting his/her behavior and driving to assure passengers' security, LA equipment and the rest of road/street users (drivers, pedestrians, etc.).
  • Always drive according to the Lebanon circulation code and respecting speed limits
  • Always wearing safety belt while driving and ensuring all passengers do the same
  • Ensuring having a valid driving license and always have it ready for any eventual inspection
  • Ensuring that all necessary documents are valid and renewed before the expiration date (yearly road safety check, registration of main drivers with the rental company, etc.)

 

Maintenance of the vehicle

  • Checking on a regular basis the vehicle's motor, oil level, breaks liquid, air pressure of wheels, windshield liquid, etc.
  • Alerting direct supervisor in case of a technical problem or need for maintenance
  • Organizing or if possible, carrying out of any necessary maintenance after validation of direct supervisor
  • Ensuring the vehicle is clean on the inside and outside
  • Ensuring all necessary equipment and material is present in the vehicle and in good condition (tools, spare wheel, airlift, belts, ropes, etc.)
  • Refilling the fuel tank each time the tank is at ¼ of its capacity

 

     Purchasing 

 

  • Rresponsible for local purchasing of goods for the mission, upon instruction and under the supervision of the LA Purchasing procedures
  • Purchase goods ensuring the optimum price/quality ratio on the market
  • Collecting quotations and checking prices for purchase of goods and services
  • Ensure that the suppliers fill in all receipts/invoices for local purchases correctly
  • Translate receipts/invoices written from Arabic into English
  • Upon request by the line manager, s/he carriers out a market survey in collaboration with the Admin team
  • Ensure the delivery of all purchased items to the requester, collects the proof of delivery and proceeds to the validation of the invoices by the Admin team
  • Do not accept money, loans, credits, gifts, entertainment or commissions from past, present or future suppliers.

 

 Other duties/responsibilities:

  • Participate in internal work meetings and inform LA team on log issues
  • Report any security related issues to the supervisor
  • Supporting operational organization of field trips and LA programs/activities

 

Qualifications and Education Requirements

 

  • Safe driving practices
  • Able to follow verbal directions, read maps, follow GPS
  • Able to work well alone
  • Reliable and punctual with dedicated professionalism to job and duties
  • Able to adapt to changing schedules or routines
  • Excellent time management skills
  • Able to assist passengers when needed
  • Organized and able to follow a schedule
  • High school diploma or equivalent; relevant experience; or knowledge, skills, and mental ability equivalent to 2 years of high school education
  • Valid driver’s license and clean driving record
  • Previous professional experience driving preferred
  • In-depth knowledge of scheduling systems and procedures
