Job purpose:

The Logistics Assistant will provide efficient and effective logistics and administration related support to the GRC Mena Region team, included Morocco, Egypt, Libya, OPT, Yemen, Iraq, Lebanon, Syria and Turkey. The assistant will collaborate day to day support Logistics IT Officer for the overall logistics of the GRC regional to ensure an optimal performance. The duty station in Beirut. She/he reports to the Logistic IT officer.
 

  • Procurements:

Support the Logistics Officer in Beirut in the procurement requests, identify service providers and evaluate vendor performance in terms of quality, prices and service delivery to produce CBA according to the GRC Rules and Regulations. Follow the full process, approval, delivery and payment of the procurements. Help the logistics officer with the local CBA produced from our teams in the whole MENA Region, ensuring due diligence compliance.

Follow up on all file documentation for full procurement process and provide assistance to the finance department with logistic documentation. (archived documents, new procurements in approval process….).

 

  • Inventory

In close coordination with the Logistics Officer, keep and monitor the Inventory for the whole GRC MENA region, updating it regularly.

On yearly basis, need be performing a physical inventory in Beirut. 
 

  • Fleet Management

Ensure that GRC vehicles are in good conditions: checking them once a week and keep track with the Vehicle Inspection Report; report damages/miss use of cars to the line manager; be responsible for the management of the movement in the field and follow up closely with IFRC to make sure that regulations are put in place and liaise with the responsible for IFRC concerning repairs and improvements.

In coordination with the administration team in GRC, prepare the monthly report of the private use of cars and share the outcome with concerned personnel.

 

                    General

 

  • Upon request, produce (regular) reports.
  • Support GRC office (Finance, Administration…) for small supplier or services.
  • Meeting organization, supporting the planning and organization of meetings and workshops, whenever logistical support is requested.
  • Support the Logistic IT officer to provide assistance in the Regional Office regarding telephones, internet service and office equipment and identify future needs.
  • Be an additional capacity to replace temporary the logistic officer’s position when needed.
  • Other tasks may be assigned on a needs basis if agreed by all persons.
