Logistics Assistant (50%; service contract)

Description: 

The Logistics Assistant reports to the Head of Project and communicates with the logistics department. At the same time the Logistics Assistant supports the Head of Project in works related to the implementation of the project with local partners. The Project Assistant is aware of, understands and ensures compliance with all Welthungerhilfe’s policies and procedures. Starting date: Asap. Service fees are paid on a monthly basis. 

  • Main duties & Responsibilities
    • Assisting the local partners in complying with WHH procurement policies.
    • Documentation of procurements
    • Keeping the Beirut office of WHH operational
    • Monitoring and documentation of partner-procurements
  • Administration:
    • Overseeing the maintenance and running of Welthungerhilfe’s premises in Beirut (offices, and residences).
    • Ensure the leases for all premises are pro-actively managed.
    • Overseeing and checking project-documentation and filing systems
  • Financial Management:
    • Work with the WHH Finance Department to ensure management of relevant costs.
  • Logistics
    • Ensuring that logistics systems including procurement, transportation, supplies are carried out in accordance with Welthungerhilfe and Donor procedures and policies
    • Ensuring efficient procurement of goods and services for the Beirut office in a transparent and accountable manner.
    • Leading on tendering, contracting and national procurement. When necessary coordinate procurements together with Welthungerhilfe’s logistics department.
    • Monitoring and approving together with the HoP partner’s procurements.
    • Communication systems & IT systems support
    • Travel and Transport
      • Ensuring cost effective transport for Welthungerhilfe
      • Assessing the transport requirements of the programme on a regular basis and developing appropriate solutions.
      • Assisting in organization of travels by team and visitors
  • Other:
    • Security: Compiling security related information from different sources and processing it to Welthungerhilfe’s security structures
    • Keeping track of some few HR related topics

Undertaking other related duties as may reasonably be assigned by the Head of Project.

ESSENTIAL REQUIREMENTS: + Degree in a related field + Minimum of 2 years of job experience relevant to the function, in a comparable environment with non-governmental organizations + Excellent interpersonal skills + Prior experience in delivering tasks according to tight deadlines + Excellent organizational and planning skills. Strong problem solving skills + Ability to work on own initiative + Willingness to travel frequently to rural field locations + Knowledge of English written and spoken + Computer literacy, particularly in Microsoft Office programs such as Word and Excel as well accounting packages & other database competencies; DESIDERABLE REQUIREMENTS: Working knowledge of a range of donor rules and regulations + Accuracy, interest in rules and regulations
