  1. Receive and coordinate arrangements for any important visitors or officials.
  2. Coordinate all office reception, IT, network and maintenance
  3. Assist in all logistical preparation of all project meetings, dialogues, conferences, events, etc…
  4. Design and coordinate record keeping systems. Take, administer and coordinate meeting minutes of all staff meeting, board meetings…etc
  5. Joint organization of coordination of events
  6. Facilitate and arrange appointments and meetings when needed
  7. Coordinate travel, accommodation and transport arrangements for project visitors and staff.
  8. Ensure office equipment such as telephone, fax, and printers and in good working conditions.
  9. Maintain proper inventory records of office material and equipment
  10. Assist office management and staff with office communications, faxing, scanning, photocopying and shipping.
  11. Assist in assembling briefing material, documentation, and correspondence for use in official meetings as required.
  12. Administer the various office supplies e.g. stationery by tracking inventory levels and coordinating timely recording
  13. Support in the following divisions: Conference & meeting Coordination, Administration, HR & recruitment processes, office maintenance, to ensure the implementation of the project is successful and in accordance with CSI policies and requirements
  14.  Coordinate relevant procurement and recruitment processes, including the preparation of TORs.
  15. Reports to the executive directors, project boards, and strategic committee.
  16. Coordinate meetings of project board, stakeholders and donors.
  17. Assist in preparing meeting agendas and take meeting notes when needed, and drafting and distributing correspondences. 
  18. Develop job descriptions and person specifications for all new staff members, contractors and interns.
  19. Coordinate all new staff procurement in consultation with the CSI management team.
  20. Coordinate and maintain all staffs evaluation and assessment processes.
  21. Liaise and coordinate with all departments about technical support and event coordination needs for dialogues, roundtables and workshops.
  22. Support and assist in organizing and conducting capacity need assessment and the questionnaire surveys for all Common Space Expert groups, staff and contractors.
  23. Coordinate and support all CSI events, planning, budgeting and implementation.
  24. Develop fixed assets recording system
  25. Handling cash
  26. Additional tasks based on management requests.
